CONDITIONS OF HIRE | |

SUPERVISION | The Hirer must agree to accept responsibility for the effective supervision of the arrangements and activities in the Hall during the period of hire and for the prevention of damage and disorderly behaviour. Supervise young children in the kitchen, toilets and by the front door. Do not let children play with the emergency exit button, if it is triggered when there is no emergency, a penalty of £30 will be charged. You need to ring the committee immediately as you will not be able to lock the door and the hall will be un-insured. You will lose your deposit if you fail to ring us. Committee contact numbers are displayed on our notice boards. |
MUSIC | Music must not be played after 11.15 p.m. (00.15 a.m. on New Year’s Eve/Day) |
FIRE REGULATIONS | All hirers MUST familiarise themselves with the fire procedures displayed on the hall notice board. To comply with the new fire regulations the hirer must keep a record of all people attending their event. You can do this by either taking a register or asking everyone to sign in.
It is the event organiser’s responsibility to make special evacuation arrangements for each person with special needs, e.g. wheelchair or mobility aid users, hearing or visual impaired and educational special needs. There are FIRE EXTINGUISHERS at several locations in the building. For everybody’s safety, if a fire extinguisher is discharged, even if accidentally or only partially, then the Bookings Clerk or any member of the Management Committee MUST be notified immediately. Their names and telephone numbers are on the notice boards. There are SMOKE ALARMS in the Entrance Hall, Committee Room, Kitchen and the Ladies & Gentlemen’s toilets. If they sound, follow the Fire Procedure. There are three FIRE DOORS. One is in the corner of the Main Hall (diagonally opposite the entrance doors); the other is in the rear Lobby (leading into the garden) plus the main Front entry door. There is a FIRST AID BOX and accident book in the Kitchen. Accidents need to be recorded in the accident book. ELECTRICAL ITEMS | All electrical items brought on the premises must conform to the National Standards i.e. PAT tested. |
CARE OF THE HALL | The Hire must immediately call or email a committee member at the start of their hire period if they find any defects or damage in the hall. Any subsequent damage to hall property must be reported immediately. The Hirer must mop up any spilt food and drink and sweep up any mess, leaving the Hall in a clean and tidy condition at the end of the period of hire. In addition to the charge for hire a DAMAGE DEPOSIT of £100 is required at the time of booking. If after the end of the period of hire the Committee are satisfied that these Conditions of Hire have been complied with your cheque will be shredded. If you require it to be returned, please enclose a stamped addressed envelope. If you have paid the deposit by bank transfer it will be return by cheque within 7 days of your booking. If extra cleaning is necessary a minimum charge of £30 will be made, and an appropriate charge may be made to cover any damage, when the cost is known.. |
